- Coordinates, reviews, audit and inventory all Superior & State Court Civil, Domestic and Criminal actions filed in Muscogee County.
- Manages the off- and on-site archiving, retention and permanent storage systems for all Superior & State Court Civil, Domestic and Criminal actions; also manages off-site storage and archiving of real estate records and other extemporaneous official records.
- Assists genealogical and media researchers in locating and interpreting court records of Muscogee County.
- Analyzes and processes criminal and civil record search requests for legitimacy and mandatory nature.
- Supervises staff in performance of all case processing and customer assistance duties; assists staff in performance of all records information duties of division, including processing, archiving and storage of court records; assists with customer service and handles more serious, complex situations for staff.
- Prepares and makes regular reports to Clerk of Court reflecting comprehensive inventory, audit and evaluation of all court records archived and stored; advises and makes recommendations concerning security and condition of all official records stored on- and off-site.
- Coordinates with all court divisions and imaging division to assure quality control and accountability of all court records processed for Muscogee County.
- Keeps abreast of all changes and modifications of law and policies regarding archiving, retention and storage of court records.
- Reviews and inventories court cases by case type, instrument type, date of recording and court of record prior to storage of case files in proper venue.
- Conducts criminal and civil court legal record history searches in compliance with federal and state requirements for various prosecutorial and civil court agencies.
- Reviews, accepts or rejects applications for notary publics; verifies criminal record status of applicant, proper witness and character testimonials and notarization in fulfillment of application requirements, and forwards all official documentation to the Georgia Secretary of State.
- Swears into office all qualified notary publics upon successful acceptance of all required documentation.
- Prepares and signs as the alter ego of the Clerk of Superior, State & Juvenile Courts officially sealed certification of the accuracy and completeness of court records requested by judges, attorneys, court personnel, general public and others to be used as legal evidence of official records in trial and elsewhere.
- Trains and assists attorneys, court personnel, paralegals, general public, and others in the operation of computerized court management system, the operation of the court imaging retrieval system, and microfiche equipment.
- Trains and assists attorneys and others in the operation and search capabilities of the computerized system provided by the secretary of state for research of notary and corporate information.
- Researches and provides response to onsite and telephonic. Requests for information from judges, court personnel, attorneys, general public, and others for superior, state and all lower court information.
- Mediates and resolves confrontations with irate or upset members of the public.
- Performs other related job duties.
Knowledge, Skills and Abilities

- Have college degree in related field plus one year experience or equivalent of four years' experience in senior role in court-related field.
- Ability to understand, interpret and identify for others all types of civil cases, hearings, and dispositions filed in superior & state civil and criminal courts; ability to understand and perform duties in compliance with the manual of the council of clerks of superior court of Georgia, roughly over 4,000 pages relevant to this position.
- Ability to communicate with state and federal archivist professionals and analyze and comprehend complex, often difficult to interpret retention standards and requirements.
- Ability to supervise and train staff in the understanding and useful application of all relevant state laws, rules and regulations.
- Ability to analyze problems and complex search request; have working knowledge of genealogical research.
- Have working knowledge and understanding of open records act and how applies to court record search requests.
- Ability to understand, use and train others in the use of and retrieval of information from the computerized courts management tracking system, the court imaging system, the microfiche system, the secretary of state computerized retrieval system, and the Clerk of Court website.
- Skill in resolving high stress situations requiring ability to make immediate decisions. Knowledge of court and government computer applications.
- Knowledge of modern office procedures.
- Skill in operating complex computer systems, copiers, printers, facsimile machines and microfiche equipment. Skill in dealing with and assisting the public.
- Skill in oral and written communication and coordination with the general public, judges, court personnel, management, state agencies, attorneys and others.
- Ability to analyze information and organize and archive civil and criminal court files.
Minimum Educational and Training Requirements

Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education. Experience sufficient to thoroughly understand the work of subordinate positions and to be able to answer questions and resolve problems, usually associated with one to three years experience or service.

- Walking - on foot to accomplish tasks, long distances, or site to site.
