Description
Job Summary:
The Human Resources Assistant, under the supervision of the Senior Director of Human Resources, is responsible for the planning, coordination, and execution of the recruitment and selection process and they are responsible for a variety of paraprofessional, technical, and clerical duties in support of the Human Resources (HR) function.
Major Responsibilities/Activities:
- Post open positions internally and to online recruiting sites, the ESP website, social media, and the State Department of Labor. Send announcements to organizations and established contacts.
- Proofread all job postings before distributing.
- Review job requisitions and job descriptions.
- Assist with collecting and screening resumes, assist in selecting potential candidates, and provide a short list of approved candidates to the Hiring Manager and HR Department when needed.
- Identify internal applicants when needed.
- Assist in scheduling interviews with a panel of a minimum of a department representative and an HR representative.
- Ensure consistency in the process including the establishment of interview panels when needed, collection of forms, check and file documentation, and references.
- Participate in panel interviews as needed.
- Develop and maintain a network of contacts to help identify and source qualified candidates.
- Assemble interview packets, new hire packets, and personnel folders.
- Prepare and email letters of appreciation to candidates not selected for hire through HRIS (Human Resources Information Systems).
- Coordinate participation in, set up displays, and work at local job fairs to actively recruit applicants.
- Participate in the development of any related recruitment policies and procedures.
- Assist HR Department with special projects.
- Perform customer service functions by answering employee requests and questions.
- Organize and file incoming correspondence/documents.
- Assist with employee benefits administration.
- Conduct new hire orientation.
- Ensure completion of background checks for all new hires and temporary positions.
- Assist in contacting temporary agencies for staff needs.
- Assist in monitoring HR files for compliance and completion.
- Create employee badges when needed
- Manager Receptionist desk and/or release receptionist for breaks when needed.
- Other duties as assigned by the Senior Human Resources Director.
Qualifications
Minimum Requirements:
- High School Diploma or General Education Degree (G.E.D.) required.
- Associates degree (A.A.) or equivalent from a two-year college or technical school preferred.
- Minimum two (2) years prior HR department administrative work experience strongly preferred.
- Equivalent combination of education and experience considered.
- Intermediate to advanced proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
- Experience using an HR information system.
