Shift: 9:00am-2:00pm ET (Mon-Fri)

Position Goal:

Responsible for performing timely and accurate administrative support for Hughston Human Resources Department.

Position Responsibilities:

  • Completes assignments as instructed.
  • Responsible for greeting all guests, visitors, employees, etc. at HR location (secure door).
  • Assist recruitment as needed with making calls, scheduling interviews, performing interviews etc
  • Creates reports as needed for HR Leadership/Administration.
  • Manages the 90 day assessment; sends calendar invites to managers; ensure completed timely (competency included if needed). Notifies HR Manager of outstanding issues.
  • Responsible for collecting and distributes HR mail each morning to appropriate party.
  • Assists HR department with coordinating clinic special events/clinic celebrations, employment related events, special projects as needed.
  • Responsible for managing all HR filing; ensuring files are kept up to date, and file area is organized. All records should be promptly filed in appropriate location (hire/term).
  • Responsible for the employee bulletin board compliance process at each facility. Each board must be kept up to date ensuring federal and state compliance (includes W/C information/panel of physicians).
  • Coordinates New Hire Orientation packets. Informs HR Manager of outstanding items timely.
  • Responsible for auditing all new hire files once onboarding has been completed.
  • Ensures accuracy by completing constant file audits with appropriate follow through.
  • Works with all new hires to complete any (outstanding) required pre-hire and new hire paperwork.
  • Completes annual MVR on Hughston employees (per position)
  • Maintains strictest confidentiality at all times.
  • Serves as departmental gatekeeper, directs questions to appropriate party for resolution.

Experience:

Required:

  • One year prior Clerical/Administrative experience

Preferred:

  • Medical Office experience

Education: High School Diploma or equivalent required.

Required:

  • Must have knowledge of Microsoft Office suite (Word, Power Point, and Excel)
  • Must be able work independently
  • Must be detail oriented and have excellent organizational ability
  • Must perform work timely and accurately
  • Must be able to work in stressful situations
  • Must use good judgment in performance of daily duties and tasks
  • Must have excellent communication skills: verbal, non-verbal, and written
  • Must have a valid driver's license and satisfactory Motor Vehicle Record (MVR)
