Position Goal
The Surgery Scheduling and Referrals Specialist supports timely surgical scheduling by assigning account numbers, verifying demographics and insurance, reviewing orders, and monitoring the surgery calendar for add-on cases. This role ensures seamless coordination between Perioperative Services and Patient Access and reduces scheduling errors.
Position Responsibilities:
Order Intake and Account Assignment
- Receive all surgical orders and assign account numbers when necessary.
- Verify and update patient demographic information.
- Print and route face sheets to Financial Counseling
Insurance Verification and Financial Hand-off
- Perform insurance verification for scheduled and add-on cases.
- Ensure documentation needed for financial clearance is accurate.
Calendar Surveillance and Add-On Management
- Review Athena's surgery calendar daily to identify late-added cases.
- Assign account numbers for add-ons and notify the Surgery Coordinator to ensure timely Periop scheduling entry.
Communication and Issue Prevention
- Identify notes added to patient charts after orders are submitted and notify the Surgery Scheduler before proceeding to avoid issues such as reschedules, cancellations, admission status changes, or insurance concerns.
- Monitor patient charts for updates that impact scheduling and escalating issues promptly.
- Minimize workflow interruptions by independently checking systems instead of requesting additional scanned/faxed documentation.
System Utilization and Documentation
- Maintain accurate documentation in Athena, Medhost, and Periop
- Adapt to workflow changes and provide feedback for ongoing system improvement.
Collaboration and Service Excellence
- Serve as the primary daily contact for the Systems Surgical Coordinator.
- Collaborate with Perioperative Scheduling, Financial Counseling, and clinical teams to ensure surgical readiness.
Experience: Experience in Patient Access, registration, or surgery scheduling preferred.
Education: High school diploma or equivalent; associate degree preferred.
Special Qualifications:
- Ability to learn and use systems: Athena, Medhost and Medhost Periop
- Strong attention to detail and chart-review accuracy.
- Excellent communication and problem-solving skills.
- Must adhere to HIPAA and patient confidentiality standards.
- Must maintain accuracy in handling sensitive patient information.
