Primary Function: The job of Staff Accountant is done for the purpose/s of ensuring accurate financial reporting and compliance by preparing journal entries, reconciling accounts, managing small grants, and supporting school-level bookkeepers.
The role also maintains internal controls, processes key transactions, and assists with annual audit reporting to uphold the integrity of district finances

Knowledge, Skills, & Abilities: | KNOWLEDGE is required to perform advanced math; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and analyze situations to define issues and draw conclusions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: pertinent laws, codes, policies, and/or regulations; personnel processes; program planning and development; school budgeting, policies and audit procedures; concepts of grammar and punctuation; principles of public and fund accounting and budgeting, knowledge of OMB Uniform Grant Guidance, knowledge of multi-fund governmental accounting, internal control policies and audit activities.
SKILLS are required to perform a variety of technical tasks using established competencies. Essential skill-based proficiencies include: Operating standard office equipment and utilizing multiple software applications (e.g., Advanced Excel, Word, PowerPoint, Access); Planning, organizing, and managing projects effectively; Preparing and maintaining accurate records with attention to detail.
ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others; analyze data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals; work with data of varied types and/or purposes; and utilize job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Essential Duties and Responsibilities:
- Prepare and input journal entries and budget adjustments for the purpose of accurately recording financial transactions.
- Reconcile monthly fiscal information and account balances for the purpose of verifying accuracy, maintaining correct balances, and complying with generally accepted accounting practices and procedures (e.g., general ledger, bank accounts, investments).
- Train, support, and monitor school-level bookkeepers for the purpose of ensuring accuracy and compliance with accounting procedures, internal controls, district policies, and financial transactions.
- Examine supporting documentation for the purpose of ensuring proper reconciliation of various account balances (e.g., receipts, reports, bank statements).
- Identify and assist in resolving discrepancies for the purpose of maintaining accurate and reliable financial records.
- Review and distribute cash receipts for the purpose of ensuring proper coding and timely deposit.
- Ensure continuity of cash receipts and other financial transactional processes during the absence of the Accounting Specialist.
- Ensure timely and accurate processing of garnishment payments for the purpose of maintaining compliance with legal requirements, preventing penalties, and safeguarding the integrity of employee payroll and district financial records.
- Assist in the preparation of the Annual Comprehensive Financial Report (ACFR) for the purpose of compiling financial and statistical data to ensure timely completion of the annual audit.
- Collaborate with other finance team members for the purpose of improving processes and maintaining strong internal controls.
- Participate in meetings, workshops, and seminars for the purpose of conveying and/or gathering information required to perform assigned functions.
- Demonstrate prompt and regular attendance.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
