Full job description
The Imaging Patient Access Specialist is responsible for coordinating and supporting all aspects of patient scheduling, insurance verification, pre-authorizations, referrals, and imaging testing workflows to ensure timely and efficient patient care. This role manages testing schedules, follow-up appointments, pre-procedure requirements, benefit verification, patient financial counseling, and account documentation while maintaining accurate records within the electronic medical record system. The specialist serves as a key liaison between patients, providers, billing, and front office staff, handling inbound and outbound communications, appointment confirmations, referral and authorization processing, report uploads, patient checkout, and billing-related documentation to support seamless clinical operations and an exceptional patient experience.
- Timely and accurately completes all assigned T and D jelly beans and actions
- Monitor add-on list to ensure no add-on appointments are overlooked
- Assists with the testing schedule by verifying upcoming appointments.
- Accurately schedules appropriate follow-up visits and in-office testing as ordered by providers
- Works closely with Front Office staff to ensure that patients are received timely for their appointments.
- Develops in-depth understanding of the in-office testing schedule
- Check benefits for all patients who have Medicare.
- Contact customer service representative for all other (non-Medicare) insurances; get benefits and authorization online or over phone, if required.
- Contact self-pay or lapsed insurance patients at least 5 working days in advance of their appointment to obtain new/valid insurance or provided the cost of the visit
- Determine the amount to be collected based on benefits and previous balances
- Flag accounts appropriately as necessary (i.e.: referral required, balance due, needs new demographics, etc.)
- Annotate all data in the patient’s chart, payments needed are to be put in Billing Alerts
- Work pre-authorization schedule at least a week in advance of patient appointment
- Helps with any scheduling issues (i.e. reschedule, calls patients, checks add-ons, sends actions, etc.).
- Upload finalized imaging reports accordingly.
- Scan documentation (Approvals for visits) into the patient’s chart for prompt billing
- Appropriately notifies billing about any add-ons through an action in the EMR
- Place all appropriate notes in EClinicalWorks, attached to the visit (which will in turn attach to the claim).
- Annotate all data in the patient’s chart, payments needed are to be put in Billing Alerts
- Answers inbound call for scheduling/ rescheduling testing appointments, internal calls to ensure that physicians find testing information and reports.
- Check and follow up on voicemails daily
- Conducts outbound to confirm appointments with patients, provide coinsurance information, and reinforce testing instructions.
- Obtain and attach referrals to the appropriate visit
- Complete pre procedure work up
- Perform patient checkout in eCW based on nurse, NMT and MA communications
Education & Qualifications
- High School graduate or GED equivalent
- 2+ years of experience working in an EMR or Medical Office setting required
- Pre-certification experience preferred
- Insurance billing and/or coding experience preferred
