SUMMARY: The Accounting Clerk – Accounts Payable performs many accounting support tasks in the accounting department including:

Process invoices, purchase orders and all functions related to the payables process, verify and maintain the accuracy of documents or records, update and maintain accounting journals, ledgers and other records that detail financial transactions. Operate and enter data into computer systems using multiple computer programs. Reconcile records internally with colleagues/management, or externally with vendors or customers. Investigate questionable data and information and recommend actions to resolve discrepancies.

DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Review, verify accuracy of all A/P related documents (invoices, banking information for vendors with ACH capabilities, purchase orders, expense reports, check requests, and other accounting documents or records
  • Investigate all vendor inquiries, research/reconcile vendor statements, and correct discrepancies; ensure that all payments to vendors are made accurately and timely
  • Maintain files and documentation in accordance with departmental, company policy and Generally Accepted Accounting Principles
  • Update and maintain accounting journals, reconcile ledgers accounts assigned, and other records related to financial information, and perform related month and year-end close duties
  • Understand purpose of form W-9, ensure a valid W-9 is received from each vendor before processing a payment.
  • Prepare and ensure 1099 are completed timely and accurately annually, this includes mailing to vendors and electronic submission to IRS both to meet IRS deadlines
  • Gather and assemble data for report preparation as needed
  • Other clerical accounting duties as needed

SUPERVISORY RESPONSIBILITIES: None

EDUCATION AND/OR EXPERIENCE:

  • High School Diploma or equivalent GED required; at least 3 years’ accounts payable or general accounting experience preferred
  • Basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills, and reasonable problem-solving skills
  • Competency in Microsoft applications including Excel, Word and Outlook.
  • Ability to interact with employees and vendors in a professional manner
  • Ability to work independently with emphasis on accuracy and timeliness
  • Basic knowledge of methods used in maintaining customer accounts and records.
  • Basic knowledge of office terminology, procedures, routines, and equipment.
  • Basic knowledge of business arithmetic and English.
  • Mental alertness; good judgment; accuracy and integrity.

LANGUAGE SKILLS:

  • Ability to effectively present information and respond to questions from CWW team members and vendors.
  • Must possess good customer service skills both oral and written.

MATHEMATICAL SKILLS:

  • Ability to perform basic mathematical computations and basic Excel skills.
