Job Details:
The primary responsibility of this position is to provide daily secretarial and accounting support to faculty in various departments on Columbus, GA campus of the School of Medicine.
Responsibilities:
This position requires fundamental computer skills, including spreadsheet and database management, basic grant and departmental budget reconciliation, word-processing, and e-mailing. Tasks in the broad areas of administrative support are assigned by the faculty and are typically prioritized by the secretary according to guidelines given by the supervising faculty member. This position is essential for enabling faculty members to fulfill responsibilities in the areas of scholarly activity, teaching, and university service. This position requires indirect supervision, the ability to work independently, and careful attention to detail. This position must work cooperatively with other secretaries in the department must be prepared to support the smooth flow of day-to-day operations and must be an effective interface with the public.
Duties include:
Arrange and schedule appointments meetings and travel arrangements.
Maintain and remind faculty of daily schedules.
Collect and distribute mail.
Gather, copy, collate, and distribute materials for faculty teaching scholarly activity and service.
Maintain copy machine and community printer.
Place and track orders via P-card and/or the requisition system and maintain electronic and/or hardcopy files for orders; maintain related budgets.
Prepare letters and other documents according to directions given.
Prepare requests for professional travel reconcile travel reimbursements request payments for advance travel plans.
Provide backup for other secretaries (I.e. front desk) as needed.
Receive telephone calls, take messages, and exercise discretion in obtaining and providing factual information for faculty.
Reconcile monthly credit card statements for various departmental faculty.
Other duties as assigned.
Qualifications:
A high school diploma/GED and one year of administrative support experience are required.
Knowledge/Skills/Abilities:
Ability to use Excel and Word to prepare various reports and documents
Must be highly organized, service oriented, and possess creative problem solving skills.
Excellent communication and interpersonal skills are necessary.
The ability to work independently and as a team essential.
Maturity, flexibility, and an ability to remain calm and poised under difficult situations are vital.
